1. WhatsApp lead qualification and routing

Trigger: an inbound message on your WhatsApp Business number, or Click-to-WhatsApp ad traffic.

  • A model extracts four fields: what they want, budget signal, city, urgency.
  • Rules route it, not the model: a ₹5,00,000 enquiry to the senior, an out-of-area pincode to a decline template, the rest by rotation.
  • Fields land in your CRM with the transcript, and low-confidence threads go to a human queue.

2. Quote and proposal drafting from a requirement form

Trigger: a requirement form on your site. The model prices nothing. It assembles.

  • It drafts scope, assumptions and exclusions from the form answers. Line items and rates come from a locked rate card, never generated.
  • The sales owner sets commercials, adds the 18% GST line, sends.

Payback: a mid-size scope drops from two hours of senior drafting to twenty minutes of review: 40 senior hours a month at six proposals a week.

3. Sales call transcription and CRM entry

Trigger: a call ends on your cloud telephony number. Speech-to-text handles Indian English and Telugu-English code-switching well now, but still fails on a shop floor or a two-bar 4G line.

  • The recording is summarised into next step, objection raised, stated timeline.
  • The rep confirms it in one tap before it reaches the CRM deal. Any figure the model heard is a suggestion, never the deal value field.

Payback: the cheapest of the nine at ₹40,000 to ₹1,20,000, mostly integration work. A five-person team losing twenty minutes a day each to CRM hygiene clears it in a quarter.

4. Invoice and PO extraction into Tally or your ERP

Trigger: a supplier invoice or PO arrives as a PDF, a scan, or a WhatsApp photo.

  • A vision model extracts supplier GSTIN, invoice number, date, taxable value, tax split and line items.
  • Deterministic checks run next: line-item total against taxable value, tax split against rate, GSTIN format, duplicates.
  • Clean documents queue as draft vouchers, failures are flagged, and nothing posts to Tally, Zoho Books or Odoo until a human approves the batch.

Payback: cost turns on how your accounting system accepts data. A clean API is a two-week job; Tally on a back-office Windows machine needs a connector and runs closer to five weeks. 5. GST reconciliation flagging

Trigger: your purchase register and the GSTR-2B are both available. This is the most oversold workflow here. It computes no liability and files nothing. It compares two lists and names the rows that disagree.

  • Match register rows to 2B rows on GSTIN, invoice number and taxable value, with fuzzy matching for INV-0091 against INV/91.
  • Output three buckets: matched, mismatched with the offending field named, missing from 2B.
  • Your CA files. Always. This is not legal or tax advice, and GST rules move by notification, so confirm the current position first.

Payback: the driver is not hours saved, it is input tax credit that lapses because nobody chased a supplier who never uploaded. One recovered claim of ₹90,000 covers most of the build. Below 80 invoices a month, a spreadsheet and a disciplined junior win.

6. Support deflection with a retrieval bot over your own documents

Trigger: a customer question on your site, WhatsApp or support email. The bot answers only from an index of your own documentation and past resolutions, and refuses rather than inventing a return policy.

  • pgvector on your existing Postgres is enough. A separate vector database is rarely justified at SME scale.
  • Every reply carries a citation and a handoff button. Order, refund and payment questions go to a human.
  • Unanswered questions are logged, and that log names what your documentation is missing.

Payback: this is what every AI vendor in HITEC City will sell you, and at 30 tickets a week it will not pay back. Below 200 tickets a month, rewrite your FAQ page and set up eight WhatsApp quick replies instead.

7. Resume screening for high-volume hiring

Trigger: an application from Naukri, LinkedIn or your careers page. This works above 500 applications a month for repeatable roles, never for senior hires, and it must never auto-reject.

  • Parse into fields: years, stack, location, notice period, CTC. Score against hard requirements only, storing the reason.
  • Strip name, gender markers, photo and college tier first. Indian resumes carry heavy caste, gender and institution signals, and a model trained on your shortlists learns your bias.
  • A recruiter makes every reject decision. The model orders the pile.

Payback: at 600 applications a month and 90 seconds each, 15 hours come back. Hiring under 20 people a year? Skip it.

8. Inventory reorder alerts

Trigger: a nightly run against your stock table. This barely qualifies as AI, and that is the point. Consumption rate, lead time, stock, threshold. Arithmetic.

  • It computes days-of-cover per SKU from real consumption, not a static minimum. Anything below lead time plus buffer raises a WhatsApp alert with a draft PO a human sends.

9. Telugu and Hindi customer communication

Trigger: any outbound message to a customer who does not write to you in English. This is where AI automation for business in India does something an American playbook has no equivalent for: your reminders go out in English by default, and customers in Telangana, Andhra Pradesh and the Hindi belt act on none of them.

  • Detect language from inbound messages and store it on the contact.
  • Translate the body, keeping names, amounts, order IDs and dates as untouched tokens. A native speaker approves each template once.
  • Never machine-translate a legal notice, warranty term or payment demand.

Payback: fewer support calls asking what the message meant, and better payment-reminder response. Budget for legibility on a ₹9,000 Android phone on weak 4G, which is what customers outside the metros hold.

  • Payback counts only hours you remove from payroll or move to revenue work. If the freed-up person just works slower, payback is zero.
  • Running cost is separate: ₹3,000 to ₹25,000 a month.

Where AI must not be trusted alone

One rule has never failed in our delivery work: if an action is expensive or impossible to reverse, a named human approves it first. Three categories are absolute.

  1. Anything that moves money. Payment runs, refunds, credit notes, salary, UPI or NEFT initiation. A model prepares the batch. A person releases it.
  2. Anything filed with a government portal. GST returns, TDS, PF, ROC filings, e-way bills. The automation prepares. Your CA files.
  3. Anything that commits you legally. A price sent to a client, a delivery date, a warranty statement, a contract clause.

The checkpoint is a design element, not a policy document, and it has to be built: a review queue with a real interface, a confidence threshold routing uncertain items to a person, an audit log of model version, input, output and approver, and a kill switch back to manual. Approving 60 invoices on one screen is a real control if it surfaces the four that failed a check. Clicking approve because the button is at the top is not.

DPDP Act: what leaves your building

Send a customer thread, a resume or an invoice to a model provider and personal data has left your control. Under the Digital Personal Data Protection Act, 2023, you are the data fiduciary and the provider is your processor. The obligation stays with you.

  • Sign a data processing agreement with every provider in the chain. An assurance in a sales call is not one.
  • Turn off training on your data and prefer zero-retention settings, which enterprise tiers offer and consumer tiers do not.
  • Redact first. Phone numbers, Aadhaar numbers and bank details can usually be tokenised out and reinserted after.
  • Name the purpose in your customer notice. "Improving service" is not a purpose. "Routing your enquiry" is.
  • Log every cross-border call: which fields left India, to which provider, under which contract. Country transfer rules change by notification, so check the current one.
  • Build deletion in from day one: an erasure request covers your vector store and transcripts.

Build or subscribe: the honest AI automation for business in India decision

Here is the part most agency pages will not print. For at least two of these nine, most Indian SMEs should not hire anyone. Reorder alerts and basic WhatsApp auto-replies are a subscription plus one afternoon in n8n or Make. Paying a firm ₹3,00,000 for what a ₹4,000-a-month tool does is money set on fire.

Subscribe when the workflow is generic, touches only SaaS data with public APIs, and stays under ₹15,000 a month. Build when any of these holds:

  • It writes into Tally, an on-premise ERP, or anything without an API.
  • It encodes your pricing logic, approval matrix or rate card, none of which belongs in a shared tool.
  • Personal data crosses the boundary and you need control over where it goes.
  • The subscription scales per conversation and your volume is growing. Pricing that works at 2,000 messages fails at 40,000.

The wider trade-off is in custom software versus off-the-shelf in India. A third answer beats both: do nothing yet. If your enquiries live in four WhatsApp groups and your stock is in a paper register, no automation survives that. Spend the first ₹2,00,000 getting operations into one system. Automating chaos just produces faster chaos.

Start with one workflow, not nine

The companies that get value pick one workflow, run it beside the manual process for four weeks, compare outputs line by line, then switch the manual version off. The ones that get nothing commission four at once. Do this first:

  1. Count last month’s real volume: enquiries, invoices, tickets, applications.
  2. Multiply by minutes each takes and your fully loaded hourly cost. That is your saving ceiling.
  3. Under ₹3,00,000 a year, subscribe. Above that, quote a build.
